Key Responsibilities:
- Administrative Planning:Develop and streamline administrative
procedures for the HQ, outlets, and operations to enhance efficiency.
- Inventory Management:Monitor office inventory and manage
organizational costs to ensure resources are used effectively.
- Office Operations:Ensure the smooth running of the office
by coordinating IT support, maintaining office equipment, and managing
the replenishment of office supplies, stationery, and pantry items.
- Billing Management:Accurately manage and process monthly
utility bills and invoices, ensuring validation and obtaining necessary
authorizations for payment.
- Landlord Coordination:Facilitate communication and
coordination between landlords and relevant departments, including
Design & Fit-out, Finance, Operations, and Marketing.
- Tenancy Management:Oversee new tenancies and renewals for
company premises, hostels, and outlets in consultation with management.
- Procedural Implementation:Develop and maintain administrative
systems and procedures to ensure operational consistency and
effectiveness.
- Facilities Management:Oversee maintenance and facilities
management for company premises, including HQ, outlets, and hostels.
- Database Management:Maintain and manage all departmental
databases to ensure accuracy and accessibility of information.
- Stakeholder Liaison:Serve as a liaison between staff,
suppliers, and clients, representing the company’s interests
professionally.
- Executive Support:Provide support to Directors and other
executives by undertaking miscellaneous tasks that may vary daily.
